Privacy Policy

Privacy Policy last update: 05/01/2026

Groome Industrial (“Groome,” “we,” “us,” or “our”) respects your privacy and is committed to handling your personal information responsibly. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the rights you have over your information.

1. Information We Collect

Information you provide directly. When you fill out a form, request information, subscribe to communications, attend an event, interact with our chatbot, or otherwise interact with us, you may provide your name, business email, mailing address, phone number, company name, job title, industry, and any details you include in messages, chat conversations, or requests.

Information collected automatically. When you visit our website, we and our service providers may automatically collect technical information such as IP address, browser type and version, device identifiers, operating system, referring URLs, pages viewed, and timestamps. This is collected through cookies, pixels, and similar tracking technologies (see Section 6).

Chatbot conversations. When you interact with our website chatbot, we collect and retain the contents of the conversation, including any information you choose to share. Conversations may be processed by third-party AI service providers acting on our behalf. Please do not share sensitive personal information through the chatbot.

Information from third parties. We may receive contact and firmographic information from business data providers, marketing partners, event organizers, and publicly available sources to help us identify and reach companies that may benefit from our services.

Information from acquired companies. Groome Industrial has acquired companies including W-S Companies, Orange Industrial, and Allsouth Environmental. Contact information collected by these companies prior to acquisition has been integrated into our records and is handled under this Privacy Policy. If you previously provided your information to one of these companies and prefer not to receive communications from Groome, you may opt out using the methods described below.

2. How We Use Your Information

We use your information to:

  • Send you the marketing, promotional, and informational communications described in our Terms & Communications page, including emails, direct mail, and other channels;
  • Respond to inquiries, fulfill information requests, and provide quotes or proposals;
  • Operate our chatbot and other automated tools that respond to your questions;
  • Deliver services you’ve engaged us for, and manage related contracts and accounts;
  • Personalize content and tailor outreach based on your industry, role, and engagement;
  • Analyze website performance, understand audience interests, and improve our offerings;
  • Comply with legal obligations, enforce our terms, and protect our rights and the rights of others.

3. Legal Basis for Processing

Where applicable law requires a legal basis for processing your information (such as under GDPR or similar regimes), we rely on: your consent; our legitimate business interests in marketing to commercial contacts and growing our business; the performance of a contract; and compliance with legal obligations.

4. How We Share Your Information

We do not sell your personal information for monetary consideration. We share information only in these circumstances:

Service providers. We share information with vendors who perform services on our behalf — including email and CRM platforms, marketing automation tools, analytics providers, hosting providers, payment processors, direct mail vendors, and AI and chatbot service providers. These providers are contractually required to use your information only as directed by us.

Affiliates. We may share information among Groome Industrial affiliates and subsidiaries for the purposes described in this policy.

Business transfers. If Groome is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction.

Legal requirements. We may disclose information when required by law, subpoena, court order, or government request, or to protect our rights, property, safety, or that of others.

5. Data Retention

We retain your information for as long as needed to fulfill the purposes described in this policy, maintain our business relationship, comply with legal and tax obligations, resolve disputes, and enforce our agreements. Chatbot transcripts are retained for [30 / 60 / 90] days for service-quality and training purposes, longer if associated with an active sales lead or customer record. When information is no longer needed, we securely delete or de-identify it.

6. Cookies and Tracking Technologies

Our website uses cookies and similar technologies to operate the site, remember your preferences, measure performance, and support marketing efforts. You can control cookies through your browser settings and, where available, through cookie preference tools on our website. Disabling certain cookies may affect site functionality.

We may also use analytics services (such as Google Analytics) and advertising tools that allow us to understand how visitors use our site and to retarget visitors with relevant content on other sites.

7. Your Privacy Rights

Depending on where you live, you may have the following rights regarding your personal information:

  • The right to know what personal information we collect, use, and share about you;
  • The right to access a copy of your personal information;
  • The right to correct inaccurate information;

  • The right to opt out of certain uses, including targeted advertising and (where applicable) “sharing” of personal information;

These rights are available to residents of California (CCPA/CPRA), Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), Utah (UCPA), New Jersey (NJDPA), and other jurisdictions with similar laws, as well as residents of the EU and UK under GDPR.

8. Marketing Opt-Out

You can stop receiving marketing communications from us at any time by following the unsubscribe instructions in any email, by contacting us using the details in Section 14, or by updating your preferences where available. Even after opting out of marketing, we may still send you transactional or service-related messages (such as responses to your inquiries or contract communications).

9. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect your personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Children’s Privacy

Our website and services are intended for businesses and adult professionals. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.

If you access our website or interact with us from outside the U.S., your information will be transferred to, processed, and stored in the United States, where data protection laws may differ from those in your jurisdiction. Where required, we put appropriate safeguards in place for such transfers.
